How do I request a new background check?


Select the Buy Checks button at the top of the page to request your first check.
Simply enter the candidate's name, email and mobile number (optional), then choose which checks you would like to run. Pay instantly using a credit card to finalise the request. You can then set a password for your account, which you can use to securely view the results and request new checks.




What documents are candidates required to provide on the online form?


As part of the MyChecks online form, your candidate will be asked to fill in their personal details and upload documents to prove their identity. They can choose from either a New Zealand Driver Licence, a New Zealand Passport, or an overseas passport.

It’s easy for candidates to take photos of their ID as they fill in the user friendly form on their smartphone or computer. They will also be asked to take a selfie and a photo of their signature, which they can do from anywhere.




What is the Proof of Verification?


The Proof of Verification is a safe checking system that delivers the outcome of a check without all the personal information.

Once your background check has been completed, you’ll have access to the Proof of Verification document which you can download or print.

The Proof of Verification masks the applicant’s exact results, and instead tells you if they meet your recruitment requirements.

As it doesn’t contain any personally identifiable candidate data, both you and your candidate are protected if it gets into the wrong hands.




How does MyChecks know what my business considers ‘acceptable’?


If anything shows up on the background check reports, for example if there’s a criminal conviction recorded, we’ll email you with an 'action needed' request.

You'll be asked to view the original report in your dashboard and check the details of the conviction. You will then need to select whether this is ‘acceptable’ or ‘unacceptable’ for your workplace.

Once you have done this, the Proof of Verification will be automatically generated for you to download and keep as your reference.




How can I trust the information on the Proof of Verification?


The information on the proof has been verified as true by MyChecks. You can also view the original reports (e.g. Ministry of Justice criminal history) when you log in to your MyChecks dashboard.
These reports are view-only and cannot be downloaded and saved. This protects your business in the event of a privacy breach and protects the privacy of your candidate. It also helps your business comply with the Privacy Act 2020




Will I still get a copy of the original criminal history report from MoJ?


No, you won’t receive a copy of the original report to keep.

You will be able to view it when you log in to your MyChecks dashboard, but it cannot be downloaded.

This protects your business in the event of a privacy breach and protects the privacy of your candidate. It also helps your business comply with the Privacy Act 2020.




If my candidate has a criminal conviction, can I see what it is?


Yes. If there’s a criminal conviction listed, we’ll email you with an 'action needed' request.

You'll be asked to view the original report in your dashboard and check the details of the conviction. You will then need to select whether this in ‘acceptable’ or ‘unacceptable’ for your workplace.

Once you have done this, the Proof of Verification will be automatically generated for you to download and keep as your reference.




What information can I see if I get a credit check?


The credit report contains:

  • credit score
  • current debt - this is any current home loans, credit cards, personal loans or other debt that the person has now
  • credit history - this is a history of bill payments plus any defaults, court judgements, summons or bankruptcy.

You will be able to view the credit report when you log in to your MyChecks dashboard, but it cannot be downloaded.

This protects your business in the event of a privacy breach and protects the privacy of your candidate.




What is a police check? Is this the same as the Ministry of Justice Criminal Conviction Check?


We offer the Criminal Conviction check which is processed through the Ministry of Justice. This will show any criminal convictions that the person currently has on their record.

This is sometimes mistakenly referred to as a ‘police check’, but there is actually no such check in New Zealand.

The NZ Police has a separate vetting service, which is not a service that MyChecks currently provides.




Do I need the candidate to fill in a paper form?


No, the candidate is emailed a link to the mobile-friendly online form. They can then easily fill in their details on their phone or computer, which we will use to process the checks.




My candidate isn’t very tech-savvy – will they be able to fill in the form?


We’ve tested the candidate form with people of all ages and technical backgrounds and simplified it so that anyone can use it. As long as they can use a smartphone or a computer, they can use MyChecks.




I want a copy of my own criminal record – how do I get that?


You can request a copy of your criminal conviction history through MyChecks. Find out more about getting your own criminal record.




What types of ID do you accept?


As part of our checking process, we will check the identity of each applicant. Every application must provide a photo of either:

  • A New Zealand driver licence,
  • A New Zealand passport, or
  • An overseas passport.
For a Ministry of Justice Criminal Conviction History, the applicant can also supply a Proof of Identity form if they don't have one of the above IDs. Read more about the Proof of Identity form.




Can I run a background check on someone without their permission?


No, you must get someone's consent to run a background check. This happens as part of the MyChecks process, so you don't need to manually get their permission. When you purchase a check with MyChecks, your candidate will automatically receive an email invitation to complete our online form. As part of this form, they need to grant their consent to the check before we can process it.
